The approach

We follow the lead through to the booking.

A clinic grows from the patients who turn up. Our work runs from the first time someone sees your clinic, on Google, Instagram, Maps or an AI answer, through the page and the inquiry to your front desk, and we report in booked patients and cost per booking.

Where they find you

Search, social, maps or an AI answer.

The ad or post

Matched to the treatment, the offer and the channel.

The page

One page per treatment, form first on phones.

The inquiry

Form or call, straight into your CRM.

The booking

The return visit

The growth review

We review your clinic before we propose anything.

After a first call we go through your marketing, from ads, social and search to the website, the follow-up and the tracking, and send a written review with what we found and what we’d do about it.

Getting set up

Access without sharing a password.

Onboarding is one guided session of eight short steps, about 30 minutes. It covers the facts about your practice, access to your accounts and the guardrails you want us to work within.

Ad accounts

Partner access to your Google Ads and Meta Business accounts, requested from ours. You approve it inside each platform and can remove it whenever you like. We don’t need your logins.

Analytics and tracking

Google Analytics, Search Console, Tag Manager, Business Profile and your Meta pixel, shared with one named Berkeley Health account at the level each product needs.

Social and content

Instagram and Facebook access through Meta Business, plus your brand assets and photo library.

Website

A separate admin user for us, or a one-time secret link, so passwords stay out of email.

Compliance and voice

Your regulators, who approves copy on your side, whether prices appear in ads, your position on before-and-after photos, and claims you want kept out.

The first 90 days

Research first. Live within weeks.

The plan is written from your onboarding answers and the review, and you approve it before anything is spent or published. Campaigns are built paused, tested end to end, then switched on with your sign-off.

Health advertising rules

Written within the rules for health ads.

Google and Meta restrict how treatments can be advertised, the rules differ by market and they change often. On a new account, one policy mistake can stop the campaigns, so compliance sits ahead of performance in how we work.

  1. Restricted treatments

Some treatments can’t be advertised on Google or Meta, and some need certification first. We check each treatment’s standing before it goes into a campaign, and the pages ads send people to follow the same rules.

  2. Prescription drug names

Kept out of ads and keywords unless the account’s certification allows them. Weight loss and injectables are framed around the program and the consultation.

  3. Claims

We avoid cure, outcome and weight-loss promises, and lead with the consultation, naming licensed providers where it helps.

  4. Before-and-after photos

Used where the platform allows, which differs between Google and Meta, with disclosure wording your clinic has approved.

  5. Offers and discounts

Worded to the rules in your state or market, with the disclosures they require.

  6. Your approver

Copy goes to the person you name before launch, and we check policy status after each change.

Clinics in the UK and UAE work under the ASA and CAP Code, CQC, DHA and DoH rules, and we adapt to each.

Measurement

A lead has a definition before the first ad runs.

Tracking is set up and tested end to end before launch: a test inquiry goes through the form, into your CRM and back to the ad platforms.

Forms and calls counted separately

A form lead and a call are two lines, and a call counts from a length you agree with us, such as 60 seconds.

Checked against your CRM

Cost per lead is ad spend divided by the leads in your CRM for the same dates. If your CRM and the ad platforms disagree, we go with your CRM.

By channel

Each lead is tagged with where it came from, so Google, Instagram, Maps and organic search each get their own line.

Booked revenue fed back

Booked revenue goes back to Google Ads without health details, where your setup allows it. Meta limits this for health advertisers, so there we optimize to the steps it allows.

Patient privacy

Forms ask for contact details and the treatment of interest. Reports show totals such as leads and bookings. For US clinics we’re happy to sign a BAA where the work needs one.

After the inquiry

Finding the patient is half the job.

What happens after someone inquires has a large effect on cost per booking. We look at reply times, the intake form, the call script and what’s sent to people who don’t book straight away, and build the follow-up with your front desk.

Speed to lead

Inquiries go to the right person straight away, and missed calls get a text back.

The front desk handoff

A short call script per treatment, and one payment question on the intake form so cash-pay and insured patients both know where they stand.

Follow-up by treatment

Messages that explain the treatment, the consultation and the cost, timed over the days after the inquiry.

Rebooking

Reminders before the appointment, recall timed to each treatment’s cycle, and memberships or packages where they fit.

A reason recorded

When an inquiry doesn’t book, the reason is logged, so next month’s plan can address it.

Lifetime value

Advice on pricing, promotions, treatment plans and which treatments to add next, from demand data and your own results.

Reporting

A weekly update in plain numbers.

It covers leads, bookings and cost per booking by channel, campaign and location, what changed last week, what we’re changing next, and whether tracking is intact.

The weekly update

One email, no login. Leads and bookings from your CRM first, then spend against budget and what we changed in each campaign.

The monthly review

A call on where to move budget, which channels and offers to run and which treatments to push, judged on the value of each treatment.

A shared dashboard where it helps

Landing pages, results, reports and a timeline of what shipped.

Questions

Questions clinics ask us.

Ask us on a call
How soon does the work start?

Research and build usually takes 7 to 10 days once access is in place. Campaigns, pages and content then go live with your sign-off, usually from week 2.

What can you take on for us?

Brand and content, advertising on Google and Meta, SEO and AI search, websites and landing pages, patient follow-up and recall, and tracking and reporting. Some clinics work with us on one area and add others as results come in.

Can you work alongside our current agency or team?

Yes. If another agency or your own team runs part of your marketing, we can work alongside them, with results measured against the same CRM.

Do we have to use your landing pages?

No. When your main site can’t be changed quickly, we build them on a subdomain we host. When it can, we build them on your site.

What if a treatment can’t be advertised?

We flag it in the review, keep it out of ads and keywords on Google and Meta, and plan around the treatments that can be advertised, often with SEO and content.

Which CRM do you work with?

Usually the one you already have. We connect forms and calls to it and read bookings from it.

Do you sign a BAA?

For US clinics, yes, where the work involves protected health information. How we approach patient privacy

Do you work outside the US?

Yes. We work with clinics in the US, the UK and the Middle East, and adapt to the advertising rules in each market.
